Current positions:

Legal Executive

Salary:  £24,000 – £29,000 depending on experience plus generous bonus scheme, options of Childcare vouchers, bicycle scheme, Private Health Scheme

Hours:  9.00am – 5.30pm Monday – Friday

The Role:

To provide a responsive and crucial function in the planning and implementation of legal services for consumer promotions from drafting Terms & Conditions, undertaking overseas legal reviews, through to creating privacy policies, legal waivers and consent documentation whilst identifying and managing risks.

This is a role that is ideal for someone who has decided not to obtain, or been unable to obtain, a training contract, but still wants to build their legal skills and knowledge in a less formal manner. The role requires a strong focus on detail, creative thinking (for what has not been briefed but should have been) and client servicing (communicating with our external client contacts to help manage and meet their expectations).

Legal Executive Responsibilities:

  • To provide a responsive and crucial function in the planning and implementation of legal services for consumer promotions from drafting Terms & Conditions, undertaking overseas legal reviews, through to creating privacy policies, legal waivers and consent documentation whilst identifying and managing risks.
  • To manage and deliver legal services on multiple allocated projects concurrently to ensure effective and efficient implementation of consumer promotions for our clients.
  • Review client briefs for legal services, qualifying information / highlighting any gaps in information before proceeding
  • Draft Terms & Conditions and other legal documents to cover all necessary areas of risk and appropriately tailored to the promotional mechanic and client requirements
  • Plan and implement legal reviews including; briefing to international legal suppliers, purchasing, managing timelines, interpreting responses, drafting reports and implementing registrations
  • Create materials to maintain and update colleague’s knowledge on assigned subject matters covering codes, laws and ASA rulings.
  • Collaborate with colleagues across the business to provide a seamless client experience.

Legal Executive Requirements:

  • A degree (achieving 2.1 or higher) plus 6-12 months’ work experience where you have developed legal knowledge, or
  • A Level education (at least 2 of these subjects at grade B: Maths/ Science, English and History) plus at least 1 years’ experience within a previous role where you have developed legal knowledge
  • Thrives and excels with performing non-routine work; quickly identifies and applies logic to new information
  • Able to multi task, managing different requirements concurrently whilst achieving deadlines
  • Excellent written communication skills.
  • High level of client care
  • Proficient Microsoft Office user (Word, Excel, Outlook and PowerPoint) with good keyboard skills.

Client Relationship Manager

Salary:  £26,000 – £35,000 depending on experience plus generous bonus scheme, options of Childcare vouchers, bicycle scheme, Private Health Scheme

Hours:  9.00am – 5.30pm Monday – Friday

The Role:

  • Manage a portfolio of 40-60 clients made up of both agencies (advertising, PR, digital) and brands / promoters direct to meet Gross Margin targets.
  • Maximise revenue potential from the portfolio through a regular planned and close ongoing contact with all levels of client contacts (marketing and legal), and gain a good understanding of their business needs creating a strong mutual working relationship. Aim is to become their trusted advisor and the go-to people for all aspects of promotional consultancy.
  • Use strong consultative selling skills to add value to a basic client brief– upsell and cross-sell additional services.
  • Take ownership of the resulting client briefs, pulling in support from other colleagues as necessary, drafting the pricing and all communication with the client.
  • Provide quality handover and work closely with internal Operations and Legal teams to ensure a seamless delivery of the project, checking in along the way to ensure project is run in full compliance with codes, regulations and company practices.
  • Work at all times in a professional, efficient manner with integrity and care for both the big picture (meeting client objectives) and the detail (such as wording of a proposed web banner or poster). See the unseen, ask the unasked questions.
  • Build excellent self-knowledge of the sector and the main codes/principles.

  • Previous experience in a consultative sales focussed role probably in a media/ marketing / management consultancy environment
  • Be an excellent communicator: persuasive telephone, written and face-to-face English language skills
  • Be able to handle a wide range of clients of all types and levels in a quality manner
  • Be passionate about quality and attention to detail
  • Be able to go wide within the existing portfolio of clients: finding more contacts and expanding our service offering
  • Be genuinely interested in promotions and marketing in general
  • Be commercially aware – able to tailor and construct well thought through business proposal documents
  • Be strong and determined with a proven ability of achieving targets and objectives

Project Manager

Salary: £26,000 – £35,000 depending on experience plus generous bonus scheme, options of Childcare vouchers, bicycle scheme Private Health Scheme

Hours:  9.00am – 5.30pm Monday – Friday

The Role:

To own and manage the planning and delivery of multiple concurrent client projects that vary in complexity and duration. Working with the relevant Client Relationship Manager you will help them to achieve their sales targets and client satisfaction through the application of care, dedication, passion and skill in a collaborative manner. It may mean conducting prize draws one moment, calling winners the next, organising holidays for prizes or overseeing the development of a promotional website.

  • Work with Cluster Client Relationship Team to help define and scope deliverables for new projects including estimating associated costs and resources required
  • For ‘Won’ projects, analyse and interpret the briefs and produce tailored, detailed operational instructions (including risk analysis) for all aspects of the task, from receipt of entries, to winner selection, to prize delivery.
  • Conduct winner selection or verification of client’s winner control systems as required.
  • Selection, briefing and managing ongoing relevant suppliers such as fulfilment houses, printers
  • Where necessary, delegate and brief work to Project Co-ordinators and Project Executives and monitor their progress in delivering the project.
  • Control the project, internally and with the client by demonstrating leadership qualities
  • Mentor and coach junior members of the team
  • Identifies and implements prize research approach (features, timescales and costs) including some supplier negotiation on charges
  • Creates draft purchase orders accurately and on time
  • Briefs suppliers, supplies data and monitors performance
  • Undertake occasional on-site auditor duties for example, at printing and production sites around the country, or occasionally overseas

Project Manager Requirements:

  • Excellent customer service skills – keeping clients informed of all key stages and ability to maintain positive working relationships with colleagues and clients
  • Highly organised with exceptional time management skills and the ability to juggle multiple projects simultaneously
  • Proactive and able to work effectively to tight deadlines in an environment where change is inevitable
  • Excellent written & verbal communication skills including ability to communicate at all levels including briefing colleagues
  • Able to absorb and apply general promotional compliance techniques to provide a tailored, considered approach to briefs/challenges
  • Able to think things through analytically, identify gaps and possible solutions
  • Experience in line managing or mentoring junior team members (desirable)
  • Able to demonstrate commerciality and strong negotiation skills
  • Driver with Full UK Licence (Desirable)
  • Formal Project management qualification (or working towards) e.g. Prince 2 (Desirable)

Project Executive

Salary: £18,000 to £21,500, plus company performance related bonus

Hours of Work: 9am to 5.30pm Monday to Friday

Project Executive Responsibilities:

  • Identify project tasks and calendarise without prompting and create/update project plan templates
  • Carry out agreed tasks, chasing clients and suppliers to meet dates and rescheduling as needed
  • Deal with multiple tasks, clients and internal stakeholders as part of the PromoVeritas core delivery team
  • Handle incoming phone calls from clients and winners
  • Communicate with client contacts via email, both inbound and outbound, proactively and reactively
  • Handle project issues / problems through investigating and identifying possible causes. Applies remedial actions as agreed by Project Manager
  • Occasional attendance at client conference calls and meetings with Project Manager
  • Undertake different types of prize draw from supplied data
  • Undertake moderation and assessment of competition judging with minimal supervision.
  • Draft / amend winner communication phone scripts and email message templates, tailoring existing resources for Project Manager approval
  • Record all contact and process steps with winners via project specific winner tracking documentation / spreadsheets / databases
  • Monitor promotional email accounts and Content Management Systems, records data and issues replies per agreed time targets
  • Populate project data reports and keep our Business system up to date
  • Research prize options (features, timescales and costs) by phone and online

Project Executive Requirements:

  • Clear, understandable speaking voice. Native English standard language.

Senior Project Manager

Salary: £35,000 – £42,000 depending on experience plus generous bonus scheme, options of Childcare vouchers, bicycle scheme Private Health Scheme

Hours:  9.00am – 5.30pm Monday – Friday

Holiday:  21 days a year plus Bank holidays, with additional days for years of service

The Role:

 To manage a large number of allocated prize promotion projects concurrently, varying in complexity and duration, from conception through planning and documenting processes to delivery, in order to meet agreed client’s needs and keep consumers happy.  Work within a Client Cluster team alongside Client Relationship Managers to support them in achieving the Cluster sales targets.

  • Work with Cluster Client Relationship Team to help define and scope deliverables for new projects including estimating associated costs and resources required
  • Support with key client development plans with the Client Relationship Managers
  • Analyse and interpret briefs outlining general requirements to produce tailored, detailed operational instructions including monitoring systems
  • Draft project implementation plans / Client Facing Schedules, operating instructions and associated communication documents for planning and scheduling timelines as well as recording and monitoring service delivery
  • Conduct a risk assessment for all major projects and agree details with Senior Management
  • Identify project strengths and weaknesses / lessons learnt and share with colleagues. Use to develop and enhance future working methods
  • Selection, briefing and ongoing liaison with suppliers such as fulfilment houses, printers staffing agencies
  • Work with key contacts at the client to gain their agreement to the project implementation plans and liaise on a regular basis ensuring they keep to both timing and budget plans. Escalating and acting on variances to the plan
  • Direct line manage and mentor allocated staff to maximum effect both on joint venture projects but also on standalone projects for each Project Exec/Coordinator/Manager
  • Follow and enhance company procedures
  • Where necessary, brief work to Project Managers / Coordinators / Executives and monitor their progress in delivering the project
  • Co-ordinate and monitor the data management and administration of projects, tracking and recording activity and financial information, highlighting and resolving any issues that arise
  • Personally undertake judging, winner selection or verification of systems as required and sign off the work of Project Execs / Coordinators / Managers
  • Full and role model use of all company systems e.g. the job reporting CRM tool to record all relevant activity

Senior Project Manager Requirements:

Project performance Manager

Salary: £35,000 to £40,000

Hours of Work: 9am to 5.30pm Monday to Friday

Project performance Manager Responsibilities:

  • Propose and agree in house quality standards and procedures
  • Obtain and share performance information on quality standards, agreeing outputs and deliverables and identifying process enhancements to enhance customer experience and operational efficiency
  • Conduct random internal checks on client project tasks.
  • Investigate service shortfalls and quality issues e.g. client complaints / dissatisfaction and identify mistakes or non-conformity issues. Present root cause analysis findings.
  • Define user requirements and test/implement systems, processes, procedures, products or services, ensuring these support operational efficiency whilst providing data to meet the changing needs of the business
  • Project Manage agreed internal projects that focus on continuous improvement to service delivery, efficiency and team performance

Project performance Manager Requirements:

  • Minimum A Level education
  • 5 years’ experience of managing data or quality assurance
  • Analytical and creative problem-solving skills. Sound business acumen displaying cause and effect thinking.
  • Advanced user of MS Word and Excel. Capable of optimising the use of programmes to achieve quality and efficiency
  • Excellent verbal and written communication skills demonstrated through reporting writing and presentations
  • Ability to coach across the matrix operation and provide structured guidance
  • Excellent organisation and time management skills, able to handle multiple projects / demands concurrently. Ability to meet ‘business as usual’ requirements while also leading various business projects

Desirable

  • Degree educated in business management or a data science / related subject e.g. computer science, Statistics, Maths
